Riva automates email archiving to CRM systems

To archive emails, users simply copy emails into the appropriate Riva AssignTo or SmartConvert folder in their email client. Riva will then automatically archive emails to the associated CRM contacts, accounts, opportunities, cases, quotes or projects. This advanced automation feature reduces the amount of time users spend manually copying information to CRM systems.

Compliance and legal requirements are not the sole drivers for email archiving in businesses. Companies increasingly use electronic communications with customers – electronic quotes, purchase orders, proposals, reports and emails – that need to be stored centrally in a CRM system. What often happens, however, is that these documents get stored in users’ email clients or on network file servers, making it difficult for managers and other salespeople to quickly retrieve them.

Riva enables companies to access a complete view of all customer communications, including archived emails, from the CRM. Sales and support staff can create appointments, contacts and tasks in their Exchange email client and Riva will automatically sync this information up to the CRM. To archive emails to the CRM, users simply need to copy the received or sent email into a “Create New Email” folder (to archive emails against new or existing contacts or accounts) or to the appropriate Riva AssignTo folder (to archive emails against existing opportunities, cases, quotes or projects). With Riva, there are no CRM plug-ins that need to be installed or configured. All modifications are bi-directionally synchronized and available via users’ mobile devices.

Riva will check the CRM system to see if a user or company exists based on the email address and domain name of the email. If a contact or company does not exist, Riva will automatically create the information, saving sales and support staff valuable time from having to manually enter this information into the CRM.

While Riva AssignTo folders are normally used to archive emails to a CRM system, they can also be customized to meet specific document retention requirements. For example, they can be configured to archive emails to Microsoft SharePoint or a SQL-based database application.
