WILO SE uses Riva to sync Microsoft Dynamics NAV 2009 to Outlook

WILO SE, the leading manufacturer of pump systems worldwide, has started to implement Riva in three countries. In an initial field test, 50 employees are using Riva to sync the Microsoft Dynamics NAV CRM module to users’ mobile devices. Riva provides a bi-directional sync of new and modified contacts, tasks, appointments and visit reports – in offline and online modes.

Overview

WILO SE, headquartered in Dortmund, Germany, is one of the leading manufacturers of pumps and pump systems for heating, cooling, air-conditioning technology, water supply, drainage and sewage. The company was founded in 1872 by Louis Opländer as a copper and brass goods factory. Wilo is represented by almost 60 subsidiaries around the world and employs more than 6,200 people worldwide. In 2010, turnover amounted to 1,021.4 million Euros. In 2011, the company was honored as the “Top Employer for Engineers” for the fourth time in a row.

The Challenge

Since 2009, WILO SE has used a customized version of Microsoft Dynamics that reflects the company’s needs. After an in-depth evaluation of Riva Integration Server, WILO SE decided to conduct a real-life test for Dynamics NAV users in Switzerland, the Netherlands and Sweden. Riva’s stability, granular control over sync policies for different user profiles, and ability to sync thousands of contacts en masse were very important to WILO SE. From an end-user perspective, the integration needed to be as intuitive and user-friendly as possible for sales and service employees. In addition the integration was expected to increase the quality of CRM data overall and allow mobile users to view and modify CRM data in offline mode and to add visit reports.

The Solution

WILO SE runs Windows 2008 as their server operating system, and end-users run Windows 7 on their desktops. With Riva’s server-side implementation, no Outlook plug-ins needed to be installed on users’ desktops. The same thing applies to ActiveSync mobile devices such as the iPhone and BlackBerry. Riva connects directly to Microsoft Exchange via Exchange Web Services (EWS). Riva is also compatible with WILO’s clustered IT environment and infrastructure.

Riva Integration Server synchronizes Microsoft Dynamics NAV 2009 (RTC) to Outlook via a single, server-side installation. Currently, Riva has been configured to sync the following items for sales staff:

  • Contacts
  • Appointments
  • Tasks
  • Visit reports

WILO’s sales team now has any time, anywhere access to their CRM data – from their laptops or BlackBerry devices. Riva syncs visit reports, as well as contacts, appointments and tasks without Outlook requiring Internet connectivity. Riva seamlessly syncs Exchange to Dynamics NAV’s ERP systems.

The Results

After the successful completion of the Riva pilot, WILO plans to provide Dynamics CRM integration for sales employees in other countries like Ireland, UK, France, Poland and Greece. The planned worldwide implementation of Riva will include support more than 200 users.
