Fonds de solidarité FTQ selects Riva to seamlessly sync calendars and contacts between IBM Notes and Microsoft Dynamics CRM

The Fonds selected Riva to manage their IBM Notes calendar activities and ensure the highest client security across multiple devices.

Overview

Created in 1983, the Fonds de solidarité FTQ is a development capital fund that calls upon the solidarity and savings of Quebecers to help fulfill its mission to contribute to Québec’s economic growth by creating and protecting jobs through investments in small and medium-sized businesses in all spheres of activity. The Fonds also seeks to encourage Quebecers to save for retirement and to offer its over half a million shareholders-savers a reasonable return over and above the outstanding tax benefits they receive by purchasing Fonds shares.

The Challenge

The Fonds uses Microsoft Dynamics CRM and IBM Notes to manage their client interactions. To better serve clients and partners, it became increasingly important to their Portfolio Managers to have access to critical client data via their mobile applications – including iPhones, Blackberries, and iPads. They began looking for an integration solution that would not only provide a full spectrum of sync functionality, but would also meet their client demands for world-class security. Their search led them to solutions including iEnterprise and free plug-ins, however, the challenges and limitations of these various pilot implementations left them realizing they would need a much more robust, server-side solution that would deliver the full functionality and security they needed, so they continued their search for a more reliable integration alternative.

The company’s biggest challenge was the inability to synchronize their calendars from IBM Notes to Microsoft Dynamics CRM. They found having one calendar in IBM Notes and another in CRM very confusing. The Fonds’ Portfolio Managers were losing productivity by having to make double entries between the two systems, which led to duplicate records and data inaccuracies. Microsoft Dynamics CRM did not offer the flexibility needed to set up rules that filtered calendar activities based on certain criteria, so each time a new entry was made in the Portfolio Managers’ Notes calendar, it was automatically logged as contact with the company in CRM, making it very difficult and time-consuming to track real interactions.

The Solution

The Fonds learned about Riva through a consultant who had been working on their integration project. The consultant visited the Riva booth at a local Microsoft CRM convention and met Riva CEO, Aldo Zanoni, who introduced him to the magic of Riva – a perfect solution for the Fonds!

The integration project was headed by Linda Call, project manager for Fonds de solidarité FTQ, and Benoît Martin, Senior Software Analyst. The company implemented Riva in 2014 and Riva has delivered secure and reliable integration for the company’s Portfolio Managers ever since.

The investment department really likes being able to control the synchronization of CRM and IBM Notes calendars and contacts through a secure and reliable application. They never have to worry about installing desktop or laptop plug-ins, or mobile applications on each individual device, which is a huge time-saver. There’s also no need for end-user training.

The implementation process went very smoothly for Fonds de solidarité FTQ. Working closely with the Riva development team, they were able to configure Riva to filter contacts and synchronize them to users based on a native “view” in Dynamics CRM. The list of contacts that are defined by this view was used as the list of contacts to be synced to users’ individual address books. Confusion eliminated! The Riva development team was also able to help Solidarity fund in selecting other special sync features that allowed them to integrate just the right functionality to fit their requirements.

The Results

The best part of implementing the Riva solution was the lack of disruption to the Portfolio Managers. Having already had the distraction and loss of productivity while learning to use Microsoft Dynamics CRM, it was a huge relief that Riva’s cross-platform email integration is completely transparent to the users – it just works! “Employees prefer to work in IBM Notes. With Riva, change management was easy because they “lived” in Notes and didn’t have to get used to anything new and could access relevant Dynamics CRM information directly in ALL IBM Notes email clients. The employees don’t even know they are using Riva…and that’s a good thing!” said Senior Software Analyst, Benoît Martin.

Riva’s world-class security and flexibility has allowed the Fonds to quickly implement a solution that has completely satisfied their integration requirements between Microsoft Dynamics CRM and IBM Notes. Riva freed up the Fonds’ Portfolio Managers to focus on what comes first – their clients. The Fonds’ future plans for Riva? “…to keep using it!” said Benoît.
